Coop E-Mail Program Checklist

Given the increasing legislation that govern's the e-mail marketing industry, these steps must be followed when implementing your e-mail campaign using the list you rented from the Wisconsin Department of Tourism.  Please feel free to copy and paste the permission statements and modify for your own use.

The e-mail is being sent within one month of receiving the list.

The content of the e-mail promotes a Wisconsin tourism or travel opportunity.

The "To:" box in the e-mail contains only one name or address; the entire list of names cannot be revealed in the e-mail.

An opt-in statement is included in the e-mail to launch your own e-mail program, and should state:

 "If you would like to continue receiving these e-mail updates from <<organization name>>, please click here, or fill out this subscription form, or e-mail us at this address."

The action they need to take should match the technology that you have set up to add individuals to your list.

An opt-out statement is included in the e-mail content, and should state:

"If you do not wish to receive e-mails from <<organization name>>, please click here, or reply to this e-mail with UNSUBSCRIBE in the subject line, or e-mail us at this address letting us know you should be removed from the list."

The action they need to take should match the technology that you have set up for individuals to remove themselves from your list. Unsubscribe requests pertain to mailings from the sending organization only; these customers will remain subscribed to WDT e-mail communications. Because these names therefore may be on future lists you purchase from the Department, it is your organization's responsibility to maintain a master "exclusion" list and to make sure you are not sending e-mails to someone who has previously requested otherwise.

A disclosure statement is included in the e-mail that tells the recipient how you obtained their e-mail address. It must state:

"This e-mail was sent by a partner of the Wisconsin Department of Tourism. You are receiving it because of your expressed interest in updates from the Department and its partners."

Your organization's name and physical location (no PO Box numbers).
